Essential Functions of Position
Referral Responsibilities
Schedule any appointments requested by our physician or an outside physician with mutual
Instruct patients how to schedule their follow-up appointments
Some referrals may require managed care approval such as:
Obtaining ICD and diagnosis codes
Ordering medication via specialty pharmacy
Notify patients of the steps in the referral process
Works with offices to obtain necessary information for authorizations
Communicates with the physician offices on status of referrals
Follows up with the insurance company in a timely manner
Updates EMR for tracking purposes
Clerical Responsibilities
Responsible for managing inbox in the EMR and e-mails in Outlook to make sure all issues are processed appropriately by the close of business
Fax documents
Completes daily clerical tasks specified
Billing
Post charges, balance and fax to Central Billing
Prepares deposit for pick-up
Collects past due balances at time of service and refer patient to Central Billing for large balances that need a payment plan
Issues receipts for cash payments, coinsurances and prior balances
Customer Service
Greets patients and visitors in a friendly and professional manner
Answers phone calls promptly and take messages if necessary
Job Specification
Minimum Qualifications
Minimum Intermediate or its equivalent
Minimum 1 year customer service experience in a medical office or similar
Ability to Work Monday Friday 5pm-1am. (USA timings) with some occasional overtime
Computer proficiency
Knowledge of Microsoft Office products including being proficient with Excel
Excellent oral and written communication skills
Ability to multi task
Ability to work well with others and under pressure
Ability to articulate and communicate effectively in person, in e-mail, and over the phone
