Job Description
- Act as first point of contact for the incoming calls and visitors at the front desk.
- Greet the incoming guests and visitors courteously.
- Ensure proper maintenance and cleanliness of the front desk.
- Maintain the list of expected visitors, interviewees, guests etc.
- Maintain proper track record of contact information of different organizations, vendors guests, callers etc.
- Ensure guests, visitors and callers are provided with adequate firsthand information about their queries with highest level of courtesy.
- Make proper arrangements for visitors sitting and waiting in the destined area.
- Make Telephone calls for interviews and maintain a proper schedule.
- Maintain proper file records, documents, receipts etc.
- Arrangement for Birthday cakes and timely distribution.
- Make arrangements for lunch, tea and refreshment for the guests and new joiners.
- Allocation and usage record of Conference room for meetings etc.
- Draft letters, memos etc. for coordination with different external entities.
- Assist in gathering quotations from different vendors and prepare a comparison sheet.
- Other duties as assigned by the reporting managers.
