Job Description
Objectives:
The Receptionist will be responsible for ensuring smooth and hassle free tasks of the front desk, along with maintaining office operations by assisting Program Manager in day to day activities.
Job Description:
- Answering telephone calls in a timely and efficient manner, transferring calls as necessary and dealing with general inquiries
- Management of telephone exchange and maintenance of records, bills and parcels
- Ensure official/business travel arrangements, hotel stays etc. for office staff as per their requirements in an efficient way
- Attend to visitors and facilitate external correspondence as well as manage bookings for official meetings
- Undertake general administrative duties including: Dealing with incoming and outgoing mail and general emails; Ordering of equipment, materials and office supplies; Undertake and assist in the recording and processing of invoices, receipts and payments as required and instructed
- Assist the Program Manager (PM) in drafting proposals/feedback reporting a timely manner
- Maintain a comprehensive filing system
- Develop and maintain necessary documentation and record of projects and organization activities
- Make reports of attendance and movement record of staff on daily basis
- Preparation and Maintenance of records in physical files
- Prepare and share daily, weekly and monthly progress report
- Making photo copies of official documents
- Must report his Line Manager before leaving the office
- Be prepared to undertake appropriate duties assigned by the line manager

Very Good communication skill both written and spoken in English
Typing & Documentation Skills
Meeting Planning
Good computer literacy, speed and accuracy essential. (Word,Excel, PowerPoint)
Basic knowledge in assessments and program monitoring
