Key Responsibilities
Dashboard and Data Management
- Update the clients operations dashboard on a daily basis.
- Collect and consolidate data from WhatsApp groups, Trello boards, the STS US portal, email correspondence, and other relevant channels.
- Ensure all dashboard entries are accurate, current, and reflect the latest shipment status.
- Shipment Tracking
- Maintain and update the master shipment tracking spreadsheet on a regular basis.
- Source shipment data from Zoho, proforma invoices, and US-based freight forwarders.
- Flag any discrepancies, delays, or missing information to the team immediately.
- Invoicing and Documentation
- Prepare and generate invoices in Zoho using purchase orders (from Trello) and proforma invoices as reference.
- Create proforma invoices based on purchase orders and share them with management for payment processing.
- Maintain organized records of all invoices, purchase orders, and related documents.
- Freight Forwarder Coordination
- Obtain and compare quotations from US-based freight forwarders.
- Prepare detailed costing sheets and present freight rate options for approval.
- Proactively coordinate with US forwarders on arrival notices, customs clearance, freight release, and delivery scheduling.
- Schedule and expedite Amazon fulfillment center delivery appointments.
- Keep management informed of any delays, exceptions, or critical updates at all times.
