Job Title: Executive Secretary

Location: Rawalpindi, Pakistan (On-site)

Employment Type: Full-Time, Morning Shift

About the Role:

Join a telecommunications provider in Rawalpindi. The Executive Secretary will support senior management and contribute to efficient office operations, serving as a central point for internal coordination and external communications across internet, cable TV, mobile and VOIP services.

Key Responsibilities:
  • Provide high-level administrative and secretarial support to senior executives, including calendar management, meeting coordination, and travel arrangements.

  • Prepare, edit and proofread correspondence, reports and presentations with professional formatting and accuracy.

  • Manage incoming calls, emails and visitor inquiries; route matters to appropriate departments and follow up as needed.

  • Maintain filing systems, confidential records and databases; handle sensitive information with discretion.

  • Coordinate internal meetings, prepare agendas, take minutes and track action items to completion.

  • Liaise with clients, vendors and regulatory contacts on behalf of management and facilitate timely communications.

  • Support basic bookkeeping or expense tracking as required.

What we’re looking for

Must-have:
  • Minimum 3 years of executive secretarial, administrative assistant, or office coordinator experience, preferably in a corporate or telecom environment.

  • Bachelor’s degree in Business Administration, Office Management, or equivalent; or at least 3 years relevant administrative/secretarial experience.

  • Strong proficiency with MS Office (Word, Excel, PowerPoint).

  • Excellent written and verbal communication in English and Urdu; ability to draft professional correspondence and reports.

  • Advanced calendar and meeting management skills; experience coordinating multiple stakeholders.

  • High level of confidentiality, professionalism and judgment.

  • Strong organizational skills, ability to multitask, prioritize and meet deadlines.

  • Attention to detail, accurate minute-taking and record-keeping.

Preferred:
  • Professional certification in office administration or secretarial studies.

  • Basic bookkeeping or expense-tracking experience.

  • Familiarity with CRM and office management tools.

  • Basic familiarity with telecommunications operations.
