Job Description
a. Responsible for maintaining company-wide travel log. Organize travel/hotel bookings; ensure relevant forms/travel materials are completed for CEO & all company staff
b. Assist all departments in maintaining files and records as and when required.
c. Assist in issuing, ordering and taking stock of office stationery, kitchen items.
d. Help in organizing conferences, events and offsite meetings.
e. Assists line managers/HODS in various tasks (e.g. office time management, HR matters, travelling management, Administrative tasks etc.) for the purpose of supporting in the performance of their functions.
f. Prepare CEO’s monthly/yearly reports regarding travel, entertainment, medical etc.
g. Schedule meetings/appointments for CEO. Coordinate meeting activities as assigned.
h. Receive guests, visitors and couriers and handle general queries at the front desk.
i. Preparing & maintaining attendance sheets of Head Office.
j. Managing Leave intimation emails and maintaining their records.
k. Maintaining Daily Time Logs In-Out.
l. Handling of Internal & External calls.
m. Finalizing deduction sheets of head office as per the attendance record and sending intimation emails to Accounts department.
General management related tasks, within the organization and as well as with external organizations.
Job Specification
- Excellent English communication (reading, writing & speaking) is MUST.
- Ideally candidate should have worked in a similar type role within a multinational environment.
- Proficient in all MS Office products.
- Well-groomed with excellent interpersonal skills.
- Ability to take up roles and responsibilities on pro-active basis.
- Good team player
- Can work under pressure
- Should have flexible personality
