Job Description

You are the first point of contact the face and voice of Excel Solutions. You will welcome visitors and take calls in a warm and professional manner. You will appreciate the importance of reception and the significance of being at the forefront of a successful business. You will also act as the Admin Officer in ensuring the smooth and efficient running of the office and all ancillary operations.

Key Responsibilities:

Accommodate visitors, clients and job candidates
Booking meetings
Operate switchboard and direct potential clients to relevant departments
Coordinate conference room bookings and appointments
Record, file and track all outgoing and incoming courier and sort mail/ Sorting and distributing post
Keeping the reception area tidy
Manage all matters pertaining to reception/office appearance and utilities
Assist Office Manager with all Admin related Requirement
Record all incoming admin expense invoices in register, gaining appropriate approval where necessary, and forward to Finance Department in a timely manner
Prepare petty cash records and cash count on a monthly basis, and send information to Finance Department by the end of the month
Assist with administrative tasks and provide research and administrative support to all departments and individuals, where necessary
Ad hoc duties as required and directed by your line manager

Job Specification

Essential Skills:
• Excellent communication and telephone skills (fluent, spoken and written English)
• Good computer skills efficiency in MS Office (Outlook, Word, Excel, PowerPoint)
• Administration skills
