Job Description

Front Desk Related Tasks:

  • Preparing & maintaining attendance sheets of Head Office, Production Unit & Engineering Simulation.
  • Managing Leave intimation emails and maintaining their records.
  • Assigning and maintaining late arrivals in the attendance register and excel sheets accordingly.
  • Maintaining Daily Time Logs In-Out.
  • Sending weekly time log email to Office Assistant.
  • Handling of Internal & External calls.
  • Visitors Handling.
  • Keeping the records of Employees-on-Site up-to-date.
  • Dispatching all the posts received and maintaining their record.
  • Arranging the meetings as per the requirement of senior management.
  • Keeping annual, sick & casual leaves records and providing information as required.
  • Create accounts in HRMS of new joiners.
  • Handling HRMS regarding sick/casual leaves entitlement after probation .
  • Preparing leavers & joiners list at the end of the month.
  • Finalizing deduction sheets & Overtime Sheet of production unit and head office as per the attendance record and sending intimation emails to relevant individual.

HR related Tasks:

  • Posting of jobs on Web Portals and receiving resumes against the posting.
  • Scheduling and arranging the interviews as per the instructions from Human Resource Executive.
  • Checking of IQ section of Entrance Test.
  • Prepare Test and interview evaluation sheet.
  • Assisting reference verification process.
  • Preparing induction plan for new joiner.
  • Providing specific information to the new joiner regarding Standard Signature Format, Date of Birth & HRMS Online Leave Module: User ID and Password by sending emails.
  • Preparing probation evaluation forms for next month.
  • Checking & preparing workers contract renewal forms.
  • Managing AED Wall (Birthday, Year Completion, Welcome Note).
  • Preparing supervisory & self, performance appraisal forms of the employees.


Responsible for providing general secretarial support and HR/Administrative tasks, within the organization and as well as with external organizations.
