Job Description

The individual shall be required to perform the below daily activities such as but not limited to:

Coordinate between the contract manager from HQ in Islamabad and the OIC in the respective Filed Stations in the daily smooth running of the Station.

Uses keyboard and word processing skills to prepare forms and short documents (e.g. memos, letters, faxes, electronic mail, etc.).

Operates a variety of office equipment in the performance of basic office functions, e.g. photocopier, facsimile, printer, scanner, etc.

Performs a wide range of office support and administrative functions.

Maintain calendar/schedules; monitor changes and communicates relevant information to appropriate staff inside and outside the immediate work unit.

Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions.

Maintains the record for generator operating hours on daily basis and compilation monthly in a generator log sheet.

Keep the record of fuel received, used and balances on monthly basis in a generator log sheet.

Ensures proper usage of vehicles by recording on daily basis the vehicle mileage.

Submits record on vehicle mileages to Transport Section on a weekly basis.

Submits vehicle trip tickets and meal claims to Transport Section on a monthly basis.

Coordinate with Transport Section on vehicle maintenance schedules.

Maintains files (both paper and electronic) and databases for the work unit.

Updates the Property Record Custodians database according to Departmental requests.

Participates in periodic physical inventories of equipment to ensure the accuracy of serial and decal numbers, stock descriptions, net total on hand and exact location of a property.

Arranges contents of logistics stocking and receiving areas in a manner that maintains a safe working environment.

Prepares processes and follows-up on administrative arrangements and forms related to an official task.

Maintains up-to-date work task files (both paper and electronic).

Coordinates extensively with service units and liaises frequently with internal team members both at Headquarters and in the field.

Coordinate with Registry Unit for receiving and sending back items to HQ to filed stations through SDS.

Coordination with the local contractor(s) ensuring implementation of the contracted tasks.

Coordinates, on behalf of Field Technology Services (FTS) section, with mobile phone provider offices present at the Field Station locations on matters pertaining to the serviceability of official mobile phones issued for use at the FSs.

Collates reports of ICT equipment/services malfunction the FSs and report immediately to FTS service desk via iNeed for appropriate action.

Performs other duties as assigned.

Salary: Market Competitive/Negotiable

Working Hours: Monday – Thursday 07:30 am to 4:00 pm and for Friday 07:30 am to 2:00 pm

Note: Preference will be given to the candidates who are residing in the above mentioned locations.

Job Specification

Education:

Minimum bachelor’s degree supplemented by Secretarial, Office Administration or Business management or Logistics Diploma or equivalent. A project management skill will be an advantage.

Working experiences:

Minimum 2 to 5 years of relevant working experience within an International Organization or an including experience in camp management.

Languages:

Fluency in English is required. Good knowledge of the local language is an advantage.

Other Skills:

Knowledge of International Organizations’ Rules and Regulations working at UN level, as well as administrative policies and procedures, is required. Computer Literacy is a must, with working knowledge office desktop software to include spreadsheet and word processing and e-mail applications.

Experience in working as part of a strong team

Strong positive attitude and client oriented.

Ability to address problems quickly and effectively

Basic Knowledge of Multinational Regulations, as well as administrative policies and procedures.

Computer Literacy is a must, with working knowledge office desktop software to include spreadsheet and word processing application.
