Job Description

Executive – Logistics, Center for Excellence in Journalism (CEJ)

Key Responsibilities:

• Arranging travel and accommodation for trainers, co-trainers, staff, faculty, and participants of workshops and trainings

• Arranging venue for the events: workshops and trainings in Karachi and across Pakistan.

• Coordinating with the vendors such as travel agents, rental car service providers, hotels, photocopiers, photographers, and printers to seek for best quoted and reasonable services

• Procuring materials for the workshops and trainings

• Following up with venue representatives about details and needs of each event, provides all on-site requirements and coordinates all pre-event requests

• Preparing, printing and organizing all event-related documents

• Arranging refreshments for the guests and participants of workshops and trainings

• Collecting bills/invoices from vendors and processing their payments

• Preparing final payments wrap-up sheet after each workshop/training

• Preparing financial statements of the workshop

• Preparing and tallying quarterly financial report to keep revenue and expense record

• Generating invoice for client/donor.

Any other tasks assigned by the management

Requirements:

• At least Bachelors’ degree in Management, Business or related field from HEC recognized university/institute.

• At least 2 years of work experience in a reputable organization. Experience of managing training and programs will be added benefit.

• Excellent communication and writing skills - able to present complex issues in a simple and straightforward manner and for different audiences

• Able to work to deadlines and highly organized

• Able to manage a varied workload and be able to prioritise

• High-level skills with Word, Excel, PowerPoint and using the internet for research purposes
