Reporting to the Chief Resource Development Officer, the Director of Advancement Services is responsible for strategic management of Advancement Services in support of the fundraising and alumni affairs activities of the University. These include database and information management; reporting and data analyses; gift receipting, gift recording, and gift processing; budgeting and other services.
The Director, Advancement Services will also be responsible for:
providing overall leadership, strategic direction and oversight of staff, operational areas, policies and procedures of the Advancement Services function to maximise performance of the fundraising and alumni affairs activities of the University
overseeing gift agreements and supervising staff and teams responsible for gift receipting, gift recording and gift processing; data and information management, reporting, and information services.
ensuring that donors are acknowledged professionally and in a timely manner. Implementing systems and procedures to monitor fulfilment of gifts
advising and partnering with colleagues in Donor Relations and Stewardship, Prospect Research and Portfolio Management
primary responsibility for strategic management of Raiser’s Edge, the University’s contact management system, and all related data and functionality, ensuring that it is used to maximum benefit
overseeing data processing, data management and data reporting, and records management. Ensuring that all information is maintained at the highest standards of accuracy, observing best practices regarding data access and data security, and safeguarding the confidentiality of sensitive data in accordance with required standards
managing data integration between alumni, donor and other records, and with other University offices, especially the Office of the Registrar and the Finance Office, ensuring that all contact and financial information is received in a timely and efficient manner, is comprehensive and accurate. Securing financial reports on endowments and gift expenditures
maintaining strong and effective working relationships with the international offices of the Aga Khan Foundation, ensuring that the donor experience is stream-lined and effective, and that the University receives all necessary information about donations and related funds in a timely manner
building and maintaining strong working relationships with fundraising and alumni affairs staff, as well as other external relations functions, providing a high level of service and ensuring compliance with procedures and best practices
overseeing and managing requests for alumni and donor data and the production of diverse alumni and donor lists and reports. Continuously providing new analyses from the data to advance fundraising and alumni engagement
continuously researching best practices in university advancement practices, processes and systems, and implementing wherever possible, so as to ensure that AKU is continuously improving and delivering to the highest of standards
providing training to fundraising, alumni and other staff, and assessing training needs for the continuous professional development of Advancement Services staff and ensuring that procedures are being followed
maintaining strong working relationships by travelling regularly to the campuses and diverse operations of the University as necessary
providing management support for the wider office, including oversight of the office budget, and contributing to the strategic planning process.
You must have:
a university education at the Bachelor’s level, Masters is preferable
minimum of ten years of senior management level experience in working in a university or major non-profit in advancement services, fundraising, or university records management. Experience with relational databases, preferably Raiser’s Edge, including comprehensive query and report writing ability
comprehensive understanding of Advancement Services as a functional area, including gift processing, donor stewardship, donor relations, customer service, prospect management, information security, and data maintenance
ability to communicate effectively with both technical and non-technical staff
data analysis skills as well as the ability to create and analyse documents, spreadsheets, and reports
strong organisation, prioritisation, and problem-solving skills and financial literacy
high attention to accuracy and detail
experience in managing and motivating staff, setting performance standards and delivering team results
highly organised, with an ability to manage multiple projects and demanding schedules
collegial and professional manner
strong ethical behaviour, and an ability to handle sensitive and confidential information appropriately and with discretion
willingness to travel to the University campuses and other locations.
