Job Description
- Receive and route telephone calls at the Reception; take messages when recipients are unavailable and pass on the messages timely
- Maintain the daily attendance register and leave applications; tally the attendance sheet and leave record at the end of the month and pass on to HR department or the Operations Manager
- Maintain log of incoming and outgoing mail, including reference numbers for letters
- Maintain stationery stock and inventory; issue items to employees as and when needed and record the changes; submit requests for new stock as and when needed
- Assist employees in placing lunch orders with the kitchen staff; maintain lunch pool; collect and disburse amounts for the same as and when needed
- Manage reservations for usage of meeting room and multimedia; inform concerned employees of a clash in usage appropriately and well in time; assist staff in arranging or placing orders for refreshments/snacks/lunch for meetings if needed
- Assist administration officer in managing the transport pool for the office
- Assist administration officer in making travel arrangements for staff
- Undertake additional administrative responsibilities as and when required
Job Specification
- Minimum graduate
- 1-2 years of relevant experience preferred
- Good interpersonal skills
- Good communication skills over the phone as well as adept at written communication
- Fluent in English and Urdu both
- Should be able to take initiative when needed
- Should be a willing worker, ready to learn and take on responsibility
