1) Make an arrangement of notice board to be fix in main entrance of worker / staff for display of notices / circulars
2) To attend the court of law on behalf of the management according to need / requirement.
3) Preparation of monthly stationary requisition summary of different departments.

4) SECURITY MATTERS:
ï‚§ To supervise security staff for the concerning matters.
ï‚§ To keep an eye over all incoming & out going material records.
ï‚§ Cross check of all gate registers.
ï‚§ To make an arrangement of issuance of their uniforms.
ï‚§ Responsible for the Premises out of boundary wall.
5) Make an arrangement to manage the factory account efficiently (Canteen, O.T entertainment & Sanitation etc) effectively to provide better facilities regarding financial matters.
ï‚§ To submit summary of account (Daily imprest report) on daily basis to the concern dept.
6) To Handle the matters pertaining to the companies ordinance and other laws applicable to this industry, for handling the situation in preventive measure based on laws / Rules.
7) Make an arrangement of transportation for staff through contract/company vehicle and goods through loading vehicle.
8) Arrangement of photocopies of different section.
9) Custody of the legal and corporate documents of the company .
10) EXTERNAL DEALING (DIRECT MANAGEMENT):
ïƒ˜ Make an arrangement to contact foreign agencies asper requirement including labour affairs. The list of various agencies to whom you contact on behalf of the management are as under:
a. Karachi Water & Sewerage Board.
Monthly billing & payment, concerning issues, meter checking, water shortage problem, water line problem etc.
b. Karachi Municipal Corporation (City Govt) for manufacturing of trade license.

Approval for new construction, and map approval.
d. Landhi Association of Trade & Industry.
e. Employer Federation of Pakistan.
f. Karachi Electric Supply Corporation.
Monthly billing & payment, settlement of concerning issues like cable problem, meter checking and meter reading, dealing with electrical inspectors, to coordinate with the institution for power failure problem etc.

Monthly billing & payment, settlement of concerning issues like line problem, dealing with concerned PTCL staff etc.
h. Sui Southern Gas Comp.
Inspection, meter reading, before meter problem etc.

11) CANTEEN:(Through Canteen Office/Incharge)
ïƒ˜ To ensure the service of meals to the employees at lunch break and tea time adequately.
ïƒ˜ To ensure the purchase of the daily grocery item and stock.
ïƒ˜ To ensure that Canteen facility are to be managed / examined by the Canteen officer, details are as under.
a) Daily purchasing of food staff item on right price and right time. Purchase requisition will be raised by Asst.Admin Officer on daily, weekly & monthly basis depending on the nature of purchasable items (Perishable, Non perishable Items).
b) Responsible for proper cooking of food through cooking staff.
c) You are responsible and availability at the time of distribution of meals to workers and staff.
d) That cleaning of canteen and kitchen should be on daily basis and it should be maintained.
12) TRANSPORTATION:(Through Asst.Admin Officer)
ï‚§ To prepare the contract and agreement on behalf of the management.
ï‚§ To keep an eye on punctuality of contract van.
ï‚§ To put his focus on scheduling the employees who are officially entitled for van privilege.
ï‚§ To coordinate with Finance dept for the in time payment of contractor for his service.
ï‚§ To negotiate with the contractor for any emerging issue relevant to van contract.
ï‚§ To keep a check on the condition of the contract van, it must be kept in a good condition through the contractor.
ii)Opal Staff Van:
ï‚§ To monitor/check the condition of the van.
ï‚§ To keep a watch on arrival timings of van staff in the morning, if due to any reason van is coming late, investigate the reason and issue a letter to van driver for the lack of his responsibility.
ï‚§ To keep update himself for all incoming or out going van details.
ï‚§ Arrangement of diesel.
ï‚§ Coordinate with the driver for incoming issues concerning with the vehicle .
ï‚§ To update himself for Vehicle maintenance issues.
ï‚§ Scheduling for changing oil.
ï‚§ Responsible for to have a Check on out going material, meter reading of the vehicle etc.
ï‚§ Washing & cleaning of Executive's vehicles.
ï‚§ Proper parking of cars.
13) WATER MANAGEMENT:(Through Asst.Admin Officer)
ï‚§ To keep a check over water level of the under ground tank.
ï‚§ To forecast the requirement of water.
ï‚§ To Coordinate with water suppliers for the demand of water tanker.
ï‚§ Responsible for proper water supply.
ï‚§ To coordinate with Finance Dept for the payment of water tanker.
ïƒ˜ Pumping Well:
ï‚§ To monitor the requirement of pumping for the demanded water level.
14) ATTENDANCE:(Trough Asst.Admin Officer)
ï‚§ To take daily attendance of the workers at the rare gate of the company, keep update attendance records with full responsibility along with late coming records of the workers.
15) TELEPHONE & MAIL: (Throgh Receptionist)
ï‚§ Dispatch of outgoing mail through Courier Company on daily basis and maintain proper record of receipt of mail.
ï‚§ Submission of incoming mail and outgoing letter to MD / CEO and Director / Chief Operating Officer for his king perusal.
ï‚§ Receipt of incoming mail and proper entry in register of receiving mail.
16) HOUSE KEEPING:( Through house keeping Officer/Incharge)
ï‚§ That you will be supervise the complete sanitation of head office block, front area plant area, cleaning / dusting of the same with the help of house keeping staff. House keeping is integral past of administration.
ï‚§ To schedule the task/ responsibilities of the sweepers.
ï‚§ To plan the schedule with special concern of extra duty on holiday on the basis of requirement/demand.
ï‚§ To prepare the budget for house keeping material.
ï‚§ To look after all material related with house keeping, its disbursement to house keeping staff.
