Administration - Orientation to the key office equipment scanning, printing and photocopying. Assisting with all aspects of administrative management, directory maintenance, logistics, equipment inventory and storage . Managing inventory of assets and supplies, sourcing for suppliers (vendors) and submitting invoices. Coordinating between departments and operating units in resolving day-to-day administrative and operational problems. Scheduling and coordinating meetings, interviews, events and other similar activities. Preparing business correspondence, typically using Microsoft Office (Word, Excel, PowerPoint, Access, Outlook) . All day-to-day operation matters. operate a range of office machines such as photocopiers, scanners, printers and computers. Finance- Orientation to voucher stack nature of documentation and compilation. Calculating and checking to make sure payments, amounts and records are correct. Sorting out incoming and outgoing daily post and answering any queries. Managing petty cash transactions. Assist in Reconciling finance accounts and direct debits. Procurement- Be responsible for day-to-day project correspondence, information sharing and filing. Assist in preparation of Bidding documents, marketing and logistic support. Collect and analyses data, prepare and update briefs, records and other documents on project implementation. Responsible for providing administrative assistance in general project implementation and management and day-to-day liaison with counterparts . Reviewing resumes and applications. Assist in conducting recruitment interviews and providing the necessary inputs during the hiring process. Maintaining HR records. Assist in Handling the full and final settlement of the employees. Regular updating of communication channels. Preparing and submitting all relevant HR letters/documents/certificates as per the requirement of employees in consultation with the management. Recording, maintaining and monitoring attendance to ensure employee punctuality. Assist in conducting employee orientation and facilitating newcomers joining formalities. Assist in Resolving grievances or queries that any of the employees have. Preparing letters such as offer and confirmation. Assist in conducting exit interviews for employees and recording them accordingly. Reviewing job descriptions for all positions at regular intervals and updating them in consultation with the respective managers. Conducting first round of telephonic interview for the candidates to schedule interviews. Assisting in preparing induction schedules. , Assisting in maintain training lists. . Assisting in compensation and benefits operational work like EOBI, medical insurances etc, leave management and coordinating with other departments.
