Job Description

Summary:

Seeking a dynamic Executive Assistant with a robust background in computer science and superior documentation skills to support high-level executive. The ideal candidate is expected to be organised, and adept at managing correspondence and responding to emails on behalf of the executive. This role requires the ability to serve as a discussion partner with a sense of public relations acumen, assisting with meeting preparations and contributing to strategic initiatives. The candidate should be comfortable in a fast-paced, technology-driven environment and can handle confidential information with discretion.

Key Responsibilities:

  1. Executive Support: Provide comprehensive administrative support to executives, manage complex calendars, schedule appointments, coordinate travel and travel to events along with executive, handle day-to-day operational tasks and support the organisation-building process.
  2. Documentation Management: Maintain oversight of all documentation, ensuring high standards of accuracy and organization. Expertly manage digital filing systems.
  3. Educational Material Development: Develop engaging and informative presentations and support materials to communicate intricate technological concepts to diverse audiences.
  4. Strategic Content Research: Perform in-depth research to stay at the forefront of technological advancements, integrating findings into educational and strategic materials.
  5. Keynote Speech Preparation: Collaborate in preparing compelling keynote speeches, infusing them with insightful technical knowledge.
  6. Meeting and Event Coordination: Efficiently organize meetings, including participation in-person and virtual, and provide preparation of agendas and follow-up documentation. (This might require travel)
  7. Process Diagrams and Documentation: Craft and manage detailed process diagrams and documents, providing clear visualizations of technical workflows.
  8. Communication Management: Oversee executive communications, ensuring efficient information flow, and managing stakeholder correspondence.
  9. Confidentiality and Discretion: Uphold strict confidentiality regarding sensitive company and personal information.

Job Specification

  • Demonstrated experience as an executive assistant, preferably in tech-related sectors.
  • Outstanding documentation and organisational skills with an exceptional eye for detail.
  • Proficiency in creating educational materials, presentations, and process diagrams.
  • Advanced research capabilities with a focus on current and future tech trends.
  • Skilled in using Microsoft Office Suite, presentation software, and diagramming tools.
  • Excellent verbal and written communication skills.
  • Ability to work autonomously and efficiently in a hybrid work environment.
