We are looking to Hire a presentable and well-mannered front desk executive for our Islamabad office. The job role includes:
1. Greeting and Welcoming:
Welcome and greet visitors, guests, and clients in a professional and friendly manner.
Ensure a positive and hospitable experience for individuals entering the premises.
2. Administrative Support:
Provide administrative support by handling phone calls, emails, inquiries, and directing them to the appropriate person or department.
Manage and distribute incoming and outgoing correspondence (e.g., emails, letters, packages).
3. Scheduling and Coordination:
Schedule appointments and meetings, and manage conference room reservations.
Coordinate with other departments to ensure seamless communication and workflow.
4. Information Dissemination:
Disseminate information about the organization's products, services, or events to visitors.
Answer general queries and provide basic information to guests and callers.
5. Record Keeping:
Maintain a log of visitors, including details such as their purpose of visit, time in/out, and contact information.
Keep accurate records of appointments and meetings.
6. Security and Access Control:
Monitor and control access to the premises by issuing visitor badges and maintaining a secure environment.
Collaborate with security personnel to ensure the safety of the facility.
7. Customer Service:
Provide excellent customer service by addressing inquiries and concerns promptly and professionally.
Assist in resolving customer issues or redirecting them to the appropriate personnel.
8. Multitasking and Time Management:
Handle multiple tasks simultaneously, such as managing phone calls, greeting visitors, and handling administrative duties.
Prioritize tasks effectively to ensure smooth front office operations.
9. Communication Skills:
Possess strong verbal and written communication skills in English to interact with a diverse range of individuals.
10. Professional Appearance:
Maintain a professional and neat appearance to uphold the organization's image and standards.
Qualifications and Requirements:
Typically, a high school diploma or equivalent is required.
