Job Description

  1. Handle all admin and accounting functions of the ILRI Hyderabad office which includes:
  2. Maintain all project information on computer based information system.
  3. Prepare reports on project matters including collate documents and information system.
  4. Assist in preparing and updating Project Leader/HR about employees’ information and attendance as required.
  5. Responsible for all travel management, event planning, general procurement; Manage relations with all vendors including financial aspects.
  6. Look after all IT related issues including email accounts, and software etc.
  7. Design/launch project and ILRI websites and affiliated web-based communications networks (email, etc.).
  8. Preparation of monthly accounts of ILRI Hyderabad Office according to the guidance of ILRI HQ and ILRI Islamabad office accountant for office and partners expenses according to acceptable standards,
  9. handling banking affairs, maintaining office payroll and daily expense, generating monthly reports according to standards of donor agencies,
  10. assist with preparation and coordination of the audit process, implementing and maintaining internal financial controls and procedures,
  11. developing accounts SOPs, maintaining backup of critical accounting records Enforcement of internal financial controls.
  12. Communication with ILRI Islamabad office on financial issue; Submitting financial report to ILRI Islamabad office within the deadlines, responding to the queries.
  13. Making Funds request to ILRI Islamabad office well in time to have adequate funds all the time in order to meet un-anticipated expenses
  14. Responsible for other duties assigned time to time by PM.
  15. Preparation of monthly accounts of ILRI Hyderabad Office according to the guidance of ILRI HQ and ILRI Islamabad office accountant for office and partners expenses according to acceptable standards;
  16. Work closely with the Project Leader, Project Coordinator and other project staff to ensure that all project management and training requirements are met.
  17. Assist to publish training manuals and communication products, prepare monthly/quarterly project reports

Job Specification

  • Minimum 3 years administrative support and office financial management experience in an (inter)national NGOs or private sector organization
  • Demonstrable experience in organizing meetings, conferences and workshops
  • Good teamwork, interpersonal, communication and multi-cultural skills
  • Highly effective multi-tasking skills, with ability to coordinate, prioritize, and organize workload, meet deadlines and work under pressure
  • Capacity to take initiative, demonstrate good judgment, and work under minimal supervision
  • Proven ability to respond to multiple demands and set priorities;
  • Proficient in following up issues and resolution; and in taking notes and minutes;
  • Proficiency in database applications and MS Office suite.
  • Good communication skills in English and in Sindh Languages and the ability to communicate to diverse audiences.
  • Experience in working in Sindh province and willingness to travel to other districts in Sindh.
