Job Description

Position Overview

The incumbent will be responsible for managing the full life cycle of drop shipping, including but not limited to developing the business, managing it and maintaining it - for various Amazon accounts. Besides, this person shall be responsible for supervising and driving these processes with his/her repartees, in order to achieve company goals. Initially, this lead will be responsible for all these processes however, with the increase in order volume, the following responsibilities will be assigned to a team of virtual assistants.

  • Product Hunting
  • Product Listing and Inventory Management
  • Order Processing
  • Customer Relations

For the duration of The Employee’s employment, the job description as Team Lead (Drop Shipping) may change depending on the nature of the position and duties. The employees agree that the job description shall include but not be limited to the following:

Duties and Responsibilities

  1. Business Development:

Product Hunting

Product hunting is one of the core functions, that would be based on the sales projections for each account.Responsibilities include -

  • Filtering out products based on eligibility, availability, demand, sales volume, profitability;
  • Maintaining detailed records in excel format with ASIN and 3rd party product code for reference;
  • Strategically determine sales targets;
  • Coordinate with suppliers - on new product launches, seasonal products, forecasts and demand planning and drop shipping store changes.

Product Listing and Inventory Management

  • Strategically list product(s) on Amazon based on competitor analysis, price analysis, shipping time, inventory, buy box and sales expectation;
  • Control and close supervision of listed products’ prices throughout the shift to meet both sales goals and market price competition;
  • Communicate with suppliers regarding product samples and limited-time promotions;
  • Obtain sample products for quality controls on all listed product types
  • Random sample to ensure quality controls on packing and shipping.
  • Monitoring inventory level on regular basis to meet daily sales targets.

  1. Business Management (Order Processing)

Ensuring on-time order processing with a team of Virtual Assistants (VA’s) is yet another core function of the drop shipping lead. It includes -

  • Close coordination with the Human Resources (HR) team to ensure appropriate number of VA’s are recruited;
  • Target-based shift and schedule development with the HR team for order processing VA’s;
  • Closely supervising VA’s to ensure all orders are properly processed (exact item, quantity ordered, packing, etc.) and are dispatched according to instructions by end the customers;
  • Order tracking with suppliers and updating customers with tracking numbers;
  • Communicate with suppliers to coordinate orders and deliveries;
  • Dispatch orders from drop-shipping warehouses as needed;
  • Communicate with suppliers via phone, email, or online mode.

  1. Record Keeping
  • Maintain daily orders processing sheet and coordinate with the finance team;
  • Update and maintain periodic reports to be shared with the management team.

  1. Customer Relations
  • Collaborate with suppliers to resolve billing issues;
  • Cooperate with suppliers on order fulfilment issues as needed;
  • Ensure the quality of products and converse with suppliers in the event of a recall or defective product;
  • Communicate with customers via phone, email, or website online chat. Ensure responses to customer are within a 24-hour window;
  • Keep track of the health of all accounts and update the management on any concerns or issues;
  • Counter and manage customer claims, arrange for refunds and rectify complaints.
