Job Description

Ensure all procurements in Pukar Foundation Karachi and sub offices are in compliance with Pukar Foundation donor standards and procedures, ensure procurements files are up-to-date and maintained in compliance with Pukar Foundation /Donor standards and procedures, ensure vetting of all new vendors, verify requisitions, solicit bids (ensure minimum three quotations are obtained for all procurements above PRP.500000 to make sure that Pukar Foundation purchased high quality products on competitive rates), ensure bids are reviewed by bid committee in timely manner and a signed and approved bid comparison is available before issuing Purchase Order to vendor, ensure approval for local purchase is obtained and files properly for all procurements of PRP. 5,00000 or more, ensure necessary approvals have been taken for all procurements i.e. Director, Country Representative and Managers etc, process payments along with complete supporting documentation (Approved Purchase Requisitions, Bids, Approved Bid Comparisons, Purchase Orders, Vendor Invoices, Goods Delivery Notes etc), maintain the necessary purchase databases, vendor listings and files and update them regularly, maintain separate databases for local and international purchases, keep end users up to date with status of outstanding/past due orders, search for new sources of supply for goods and services, maintain records both printed and electronic for audit purposes, review all purchasing documents (Purchase Requisitions, Invitation for Bids, Bid Comparison Sheets, Purchase orders terms & conditions etc) time to time and suggest changes as needed, update Procurement Manual as needed & also ensure participation of sub offices staff in review of Procurement Manual, ensure that advances made in connection with purchases are liquidated timely, facilitate sub-offices in procurements of all their requests in timely manner, training and capacity building of sub-offices procurement staff, Capacity Assessments & Tenders Compiling & perform any other task assigned by Supervisor and/or Director.

Job Specification

Candidates applying must be energetic & aggressive & have experience in an NGO. Knowledge of Law will be an additional value.
